This Privacy Policy explains how Coolsine ("we", "us", "our") collects, uses, stores, and shares personal information in connection with the Coolsine platform. It applies to two groups of people: Sellers (businesses and individuals who register for a Coolsine account) and End-Customers (people who place orders through a seller's Coolsine store). Where relevant, we distinguish between how we handle each group's data.
Coolsine complies with the Privacy Act 2020 (New Zealand). Sellers who collect personal information from their own customers through the Coolsine platform are independently responsible for complying with applicable privacy laws in their own right.
a. Information provided by Sellers:
b. Information collected from End-Customers (on behalf of Sellers):
End-customer data is collected by Coolsine on behalf of and at the direction of the relevant Seller. The Seller is the data controller for their customers' personal information. Coolsine acts as a data processor in relation to end-customer data.
c. Information collected automatically:
We use personal information to:
Where applicable, we process personal data based on one or more lawful bases: performance of a contract (to provide the service and process orders), compliance with legal obligations, consent (for marketing communications), and our legitimate interests (for platform security and improving services).
Coolsine uses Umami for website analytics. Umami is a privacy-focused analytics tool that collects only aggregated, anonymised data about how visitors use the platform. It does not collect personally identifiable information, does not use cookies, and does not track individual users across sessions or websites.
Beyond Umami, cookies and similar technologies may be set automatically by other third-party services we use, including payment processors, hosting providers, and email delivery services, which we do not directly control. Types of cookies that may be set by these third parties include essential cookies (required for payments and site functionality) and security cookies. You can control or block cookies through your browser settings; note that blocking essential cookies may prevent certain features from working.
We do not sell your personal data. We may share it with third-party service providers who perform services on our behalf, including:
These providers are contractually bound to protect your data and may only process it for the purposes we specify. We may also disclose information when required by law, to respond to legal requests, or to protect the rights, property, or safety of Coolsine, our users, or others.
We retain personal information only as long as necessary to provide services, comply with legal obligations, resolve disputes, and enforce our agreements. Typical retention periods include:
You can request deletion or correction by contacting coolsine@ezdata.co.nz. We may retain aggregated or anonymised data for analytics purposes.
We implement industry-standard technical and organisational measures to protect personal data, including TLS encryption in transit, access controls, and secure credential handling. Nevertheless, no method of transmission or storage is 100% secure; we cannot guarantee absolute security.
Under the Privacy Act 2020 (New Zealand) and other applicable laws, you may have the right to access, correct, or request deletion of your personal information; restrict or object to certain processing; and request data portability. To exercise these rights, contact us at coolsine@ezdata.co.nz. We may need to verify your identity before fulfilling requests.
End-customers wishing to exercise rights over data held by a seller should contact that seller directly, as the seller is the data controller for that information.
We do not knowingly collect personal data from anyone under 18. If you believe we have collected such data, contact us at coolsine@ezdata.co.nz and we will take steps to remove it.
Some of the third-party service providers we use, including Stripe (United States) and our hosting and email delivery providers, are based outside New Zealand. When personal data is transferred internationally, we rely on those providers' own data protection safeguards, contractual commitments, and compliance programmes to ensure your information is protected to a standard consistent with the Privacy Act 2020. By using Coolsine, you acknowledge that your data may be processed outside New Zealand.
We do not use automated decision-making or profiling that produces legal or similarly significant effects on users. If this changes, we will provide details and information on how to request human review.
If you consent to receive marketing communications from Coolsine, you may opt out at any time using the unsubscribe link in any marketing email or by contacting coolsine@ezdata.co.nz. Opting out of marketing does not affect service-related messages such as order confirmations and account notifications, which may still be sent.
End-customers who receive automated reminder emails sent on a seller's behalf should contact that seller directly to opt out, or use the unsubscribe link included in those emails.
We may update this Privacy Policy from time to time. We will notify registered users of material changes by email or via an in-platform notice. The "Last Updated" date at the top of this page reflects the most recent revision. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
