2. How We Use Your Information & Legal Basis
We use your data to:
- Operate and improve the Coolsine platform
- Manage your account and orders
- Process payments and refunds
- Send updates, support, and promotions (where you consent)
- Secure the platform and prevent fraud
Where applicable, we process personal data based on one or more lawful bases: performance of a contract (to provide the service and process orders), compliance with legal obligations, your consent (for marketing and certain cookies), and our legitimate interests (for platform security, analytics, and improving services).
3. Cookies and Tracking Technologies
We do not operate site-wide analytics or advertising trackers ourselves. However, cookies and similar technologies may be set automatically by third-party services we use (for example, payment processors, hosting providers, email services, or embedded widgets).
Types of cookies that may be set by third parties include: essential cookies (required for payments and site functionality), security cookies, and optional analytics or performance cookies. You can control or block cookies through your browser settings; note that blocking essential cookies may prevent certain features from working.
4. Sharing Your Information & Third-Party Processors
We
do not sell your personal data. We may share it with third-party service providers who perform services on our behalf, including payment processors (e.g. Stripe), hosting providers, email delivery services, analytics, and delivery partners. These providers are contractually bound to protect your data and only process it for the purposes we specify.
We may also disclose information when required by law, to respond to legal requests, or to protect the rights, property, or safety of Coolsine, our users, or others.
5. Data Retention
We retain personal information only as long as necessary to provide services, comply with legal obligations, resolve disputes, and enforce our agreements. Typical retention periods may include:
- Order and transaction records: as required by law for accounting and tax (commonly 7 years or local requirement)
- Account information: while the account is active and for a period after deactivation to comply with legal obligations
- Support messages and correspondence: up to 2 years unless otherwise required
- Logs and security data: up to 1 year depending on the data type
You can request deletion or correction by contacting
coolsine@ezdata.co.nz. We may retain aggregated or anonymized data for analytics purposes.
6. Data Security
We implement industry-standard technical and organizational measures to protect personal data, including TLS encryption in transit, access controls, and secure credential handling. Nevertheless, no method of transmission or storage is 100% secure; we cannot guarantee absolute security.
7. Your Rights
Depending on your jurisdiction, you may have rights including access to your personal data, correction, deletion, restriction of processing, data portability, and objection to certain processing. To exercise these rights, contact us at
coolsine@ezdata.co.nz. We may need to verify your identity before fulfilling requests.
9. International Transfers
Your information may be stored and processed in countries outside your own. When we transfer personal data across borders, we take steps to ensure it is protected in accordance with this policy and applicable law.
10. Automated Decision Making
We do not use automated decision-making or profiling that produces legal or similarly significant effects on users. If this changes, we will provide details and information on how to request human review.
